HOLOCENE | TERMS OF SERVICE

Welcome to Holocene ("Company", "we", "us", or "our"). These Terms of Service ("Terms") govern your use of our website, consulting services, customised itinerary design packages (including Gold, Silver, Essential, and Express packages), strategy calls, and travel audits (collectively, the "Services").

By purchasing a service, booking a consultation, or using our website, you ("Client", "you", or "your") agree to be bound by these Terms. If you do not agree with any part of these Terms, please do not use our Services.

1. Scope of Services

Holocene provides independent travel design, itinerary curation, route planning, and travel consulting services.

  • Consulting & Design Only: Holocene is an independent travel itinerary consultancy. We are not a licenced travel agency, tour operator, or booking agent.

  • Independent Bookings: Holocene does not make bookings, reservations, or financial transactions on your behalf with third-party providers (e.g. airlines, hotels, transport providers, tour guides). All bookings, reservations, payments, and cancellations remain the sole responsibility of the Client.

  • Deliverables: Deliverables (such as customised digital itineraries, route blueprints, map links, and strategy notes) are tailored based on information provided by the Client during discovery consultations or questionnaires.

2. Client Responsibilities

By using our Services, you acknowledge and agree that:

  1. Accuracy of Information: You are responsible for providing accurate preferences, physical capability levels, budget constraints, and travel dates.

  2. Travel Documents & Compliance: You are strictly responsible for obtaining and verifying all necessary travel documents, including valid passports, visas, transit permits, health/vaccination clearances, and international driving permits.

  3. Third-Party Verification: You must independently verify opening hours, entry requirements, local laws, seasonal closures, and safety warnings for all recommended destinations, establishments, and activities prior to and during travel.

  4. Travel Insurance: Holocene strongly recommends that all clients purchase comprehensive travel insurance covering trip cancellations, medical emergencies, evacuation, baggage loss, and adventure activities prior to departure.

3. Payments, Cancellations & Refunds

  • Fees: All fees for Holocene Services (including customised packages, strategy calls, and audits) are payable upfront prior to the commencement of work or scheduling of consultations, unless otherwise agreed in writing.

  • Refund Policy:

    • Consultation Calls & Audits: Fees are non-refundable once the strategy call has taken place or the written audit deliverable has been delivered. Cancellations requested more than 48 hours prior to a scheduled video call may be rescheduled or refunded.

    • Customised Packages (Gold, Silver, Essential, Express): Because customised itineraries require substantial time and research, fees are non-refundable once research work or questionnaire review has commenced.

  • Scope Changes: Requests for major changes to trip duration, core destinations, or travel party size after itinerary drafting has begun may incur additional design fees.

4. Limitation of Liability & Disclaimers

  • Assumption of Risk: Travel, particularly off-the-beaten-track, wilderness, or active travel, involves inherent risks (including weather disruption, transport delays, physical injury, political instability, and health hazards). You voluntarily assume all risks associated with your travel.

  • Accuracy & Changes: While Holocene utilises extensive first-hand experience and research to provide accurate recommendations, travel conditions, prices, road conditions, and vendor availability change rapidly. Holocene makes no guarantees regarding the performance, safety, quality, or availability of third-party vendors or locations recommended in any itinerary.

  • Exclusion of Damages: To the maximum extent permitted by applicable law, Holocene shall not be liable for any direct, indirect, incidental, consequential, special, or punitive damages—including travel disruption, missed connections, personal injury, property damage, financial loss, or disappointment—arising out of or in connection with your use of our Services or reliance on our itineraries.

5. Intellectual Property & Licence

  • Ownership: All customised itineraries, route blueprints, digital guides, website content, text, graphics, and materials created by Holocene remain the intellectual property of Holocene.

  • Limited Licence: Upon full payment, you are granted a personal, non-exclusive, non-transferable, revocable licence to use the delivered itinerary and materials for your personal, non-commercial travel purposes only.

  • Restrictions: You may not resell, redistribute, publish, or commercially exploit any itinerary, route design, or guide provided by Holocene without our express written consent.

6. Client Reviews & Testimonials

By submitting a testimonial, review, or feedback to Holocene via email, messaging, or video call, you grant us a non-exclusive, royalty-free, worldwide licence to use, display, and publish your feedback (including your first name and general location) on our website, social media channels, and marketing materials. You may request removal or modification of your review at any time by contacting us in writing.

7. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the jurisdiction in which Holocene operates, without regard to its conflict of law principles.
